The Client

Reef Zlements

Reef Zlements is a UK-based marine aquarium supplies company founded by passionate reefers with over 30 years of hands-on experience in the aquatic world. What began as a personal obsession with freshwater tanks evolved into a deep specialism in mixed reef systems — combining genuine love for marine life with a rigorous academic background in Chemistry. Today, Reef Zlements produces and distributes a comprehensive range of high-quality marine aquarium products, backed by advanced ICP and IC water testing systems. Their commitment to product integrity and scientific precision had earned them a loyal following among both hobbyists and professionals across the UK. The problem was that their internal operations had not kept pace with their reputation.

The Problem

A System at Breaking Point.

Reef Zlements came to us not with a vague technology ambition — but with a business that was visibly straining under the weight of its own growth. Every operational process was held together by manual effort, institutional memory and spreadsheets that were never designed to run a warehouse.

“We were tracking inventory by walking the warehouse floor and writing things down. We had no real visibility. We didn't know what we had, where it was or how much we'd used until something went wrong.”

Problems identified:

  • 01 Inventory tracked manually — time-consuming, error-prone and increasingly unreliable as SKU count grew.
  • 02 No real-time visibility into stock levels — items were lost, misplaced and double-ordered regularly.
  • 03 Quality control performed informally — no structured intake process on goods received.
  • 04 Work orders managed through disconnected spreadsheets — no link between production scheduling and live stock.
  • 05 Scalability absent — the existing approach could not survive another year of growth at their rate.
Our Approach

Specification Before Code.

We spent the first two weeks doing nothing but reading. We mapped every operational process — goods receipt, storage, production scheduling, dispatch and quality control. We interviewed the warehouse team, the founders and the production staff. We documented every pain point, every workaround and every process that existed only in someone's head. At the end of week two we produced a detailed technical specification — covering system architecture, data model design, barcode infrastructure, workflow logic and API integrations. The scope was agreed and signed by both parties before a line of code was written.

Phase:

  • 01 Full warehouse walkthrough, staff interviews, process documentation, pain point mapping.
  • 02 Architecture, data model, barcode system design, workflow logic — agreed and signed.
  • 03 Parallel development with weekly client reviews and direct engineer access throughout.
  • 04 Load testing, workflow validation, staff training and full UAT before go-live.
The Solution

Built for How

Reef Zlements initially approached us looking for a warehouse management system. What they received was a complete operations platform — designed around the specific rhythms of their production environment, not around what was easiest to build.

Features:

  • 01 Warehouse Inventory & Barcoding.
  • 02 Work Orders & Production Scheduling
  • 03 Quality Control & Intake
  • 04 Delivery & Sales Order Management
  • 05 Stock Management & Minimum Levels
The Results

Measurable Outcomes.

The platform went live without incident. The warehouse team adopted it within a week. The founders had full operational visibility for the first time in the company's history.

Outcome:

  • 01 Complete operational visibility across warehouse, production and dispatch in a single platform — for the first time in the company's history.
  • 02 Inventory accuracy improved to effectively 100% — stock discrepancies that previously occurred weekly were eliminated within the first month.
  • 03 Production scheduling time reduced significantly — work orders that previously required manual coordination across multiple spreadsheets now managed in minutes.
  • 04 Quality control formalised — every goods receipt now processed through a documented intake system, reducing the risk of out-of-specification products entering production.
  • 05 Platform architected to scale — multi-site expansion and increased SKU volume can be accommodated without migration or re-implementation.

“Brytebuild transformed our operations completely. What started as a need for better inventory management turned into a full overhaul of how we work. The platform is intuitive, powerful and scalable — exactly what we needed to keep growing. The team provided exceptional support throughout. We didn't just get software. We got a system we actually understand and can run ourselves.”
